How to share newsletters, menus and the school calendar with parents
The class parents' group gets 300 messages a day and still nobody can find the lunch menu, the trip letter or the supplies list. If you're on the PTA or a class rep, you know what it's like to answer the same question ten times. Here's how to keep everything at hand.
What to share and how to organise it
- Letters: from the school and the PTA, with the date in the name.
- Calendar: holidays, reports, meetings and trips, pinned to the top.
- Lunch: the monthly menu as a PDF or photo.
- Consent forms: to download and print.
- After-school clubs: times, prices and sign-ups.
- Supplies: each year's book and supplies list, with shop links.
Fewer questions in the group
When someone asks “when's the trip?”, the answer is always the same: “it's in the collection”. New families join with the link or the QR code on the PTA noticeboard and have everything for the year from day one.
Channel or Collaborative: which to use
Channel
one person publishes, the rest view
The PTA's or class rep's Channel
- Official information, published by one person and changed by nobody else.
- One Channel for the whole school or one per year group.
- At the end of the year, archive it and open next year's.
Collaborative
everyone adds and edits
A Collaborative collection for parents
- End-of-year gifts, birthdays, school-run rotas, photos from the play.
- Tips: the language school, the paediatrician, the second-hand uniform shop.
- Everyone adds without flooding the chat.
How to set it up in five minutes
- Install Linkalia and create a collection named after the group.
- Create the categories. For example: Letters, Calendar, Lunch, Consent forms, Clubs.
- Add material with Share from any app: PDFs, Word files, photos, YouTube videos, links or Google Maps locations.
- Tap the collection's name to open Collection info and, under Access, pick Channel or Collaborative.
- In the ⋮ menu, tap Share invite link: send it to the WhatsApp group or show the QR code.
Anyone without the app lands on the page to download it for free; no sign-up or email needed. As admin you see who's in the collection and can remove (and readmit) anyone.
Frequently asked questions
Does it replace the WhatsApp group?
No. The group is for talking; the collection keeps what you need to find later: letters, menus, the calendar and forms.
Do parents have to give their details?
No. Linkalia doesn't ask for sign-up or email: each family joins with the link or QR code.
What about parents with iPhones?
Linkalia is Android only for now. With Pro, the PTA can export the collection as a web page that opens on any phone.
School letters, menus and calendar, always at hand. Try Linkalia for free.
