How to share training plans, routes and fixtures with your club's members

Updated 4 November 2026 · Written by the Linkalia team

This week's plan in a PDF, Sunday's route on Strava, the race calendar in another PDF, entries on a website and photos of the last meet-up in the group chat. A small club runs on WhatsApp… until the group has a hundred people. Here's how to bring order.

What to share and how to organise it

This week's plan is pinned to the top and swapped every Monday.

It works for any sport

Running, cycling, trail, hiking, swimming, triathlon, padel or the kids' football team: the categories change, but the idea is the same. For youth clubs with parents, one Channel per team or age group stops parents asking every week where and when the match is.

Channel or Collaborative: which to use

Channel

one person publishes, the rest view

The club's Channel (run by the coach or committee)

  • Plans, fixtures, rules and official documents; members can only view them.
  • A new member joins with the QR code and gets the whole season.
  • When the season changes, archive the old one and open a new one.

Collaborative

everyone adds and edits

A Collaborative collection for the group

  • Members add photos from meet-ups, routes they discover and videos that help them.
  • To organise a trip to a race: accommodation, car shares, race numbers.
  • Everyone contributes without flooding the chat.

How to set it up in five minutes

  1. Install Linkalia and create a collection named after the group.
  2. Create the categories. For example: Training, Routes, Fixtures, Technique, Club.
  3. Add material with Share from any app: PDFs, Word files, photos, YouTube videos, links or Google Maps locations.
  4. Tap the collection's name to open Collection info and, under Access, pick Channel or Collaborative.
  5. In the ⋮ menu, tap Share invite link: send it to the WhatsApp group or show the QR code.

Anyone without the app lands on the page to download it for free; no sign-up or email needed. As admin you see who's in the collection and can remove (and readmit) anyone.

See it in the app: Linkalia comes with the example collection “Train with us — Running”. Once installed it's in your library, so you can see how it looks before creating your own.

Can I use it with parents at a youth club?

Yes. One Channel per team or age group: times, squad call-ups, consent forms and fixtures in a single link.
